Event Mail Merge and Labels

Event mail merge is similar to the regular company/contact mail merge described in Chapter 9: Company/Contact Management, Company/Contact Mail Merge, except that you can choose to filter recipients by Events.

Begin the mail merge by selecting File | Event Mail Merge from EventPro’s main menu.

1.The Filter Criteria window appears.  Set the filter so that only the events you want to include in the mail merge appear.  To learn how to create and apply a filter, see Introduction: Common Function, Setting a Filter.  When you are done, click OK in the bottom corner of the Filter Criteria window.
2.The Event(s) for Mail Merge window will display the list of events that match your filter criteria. You can mail merge all of the events visible in the selection grid or just selected events.

3.To adjust your filter criteria to get a different set of events, click the Set Filter button .
4.Click the Reset Filter button to clear the filter and display all of the events in EventPro.
5.To multi-select specific events, hold down the Ctrl key and click on the desired events.  If you want to include all visible events in the mail merge, you do not need to select them.
6.When you are satisfied with the list of events, click Mail Merge.
7.In the next screen, you will choose whether you want to merge Selected Records or All.

From here, the mail merge process is the same as that described earlier in Chapter 9: Company/Contact Management, Company/Contact Mail Merge.

Remember that you may have marked certain recipients as "Do Not Contact By" certain communication methods. For example, if you send an email mail merge and attempt to include a recipient you have marked to not contact by email, the recipient will not be sent the email. To review how you set the Do Not Contact By list for companies and contacts, see Entering a New Company or Entering a New Contact.

When the merge is complete and you arrive at the Merge Results page of the Mail Merge Wizard, click Close to return to the Event(s) for Mail Merge window.  From here you can print labels (see below) or click Close.

1.To print labels or envelopes for the events included in this mail merge, click the Print Labels button.
2.In the Event Labels dialog, select a radio button to indicate whether you want to print labels for the Selected Events or All (Filtered) Events.

3.The Labels window appears, in which you can select your printing options.
4.From here, the label printing process is the same as that described earlier in Chapter 9: Company/Contact Management, Company/Contact Mail Merge: Labels.
5.When you are done mail merging and printing labels from the Event(s) for Mail Merge window, click Close.
